Your personal information

When you supply personal information, we have legal obligations towards you in the way we handle that data. We must collect the information fairly, that is, only collect the information we need, and we must explain how we will use it and tell you if we want to pass the information on to anyone else.

The college must send information about individual learners to external organisations, for example, the Education Funding Agency (EFA), Skills Funding Agency (SFA), Higher Education Funding Council (HEFC), National Careers Service, Awarding Organisations, the London Borough of Newham and others.  We also have a data-sharing agreement with the Metropolitan Police.

We will share information relating to your academic performance, attendance, punctuality and behaviour with your parents/guardians. We may also pass on your achievement and destination data to your previous school(s).   

All staff at the college can access basic information about each learner, in order to help us support you. All staff must abide by the Data Protection Act 1998.

We will hold your personal information in electronic form.  Hard copy information will be held for seven years, after which time this information is destroyed securely. We will ensure that all personal information supplied is held securely in accordance with the Data Protection Act 1998.

How your information will be used

Your records will be used to:

  • ensure you are supported in your studies, for example by ensuring you can access college systems
  • help the learning support team and your personal tutor ensure that you are provided with the support you need
  • ensure the college is well-funded to give you the best possible access to excellent resources

Access to your personal information

It is your right under the Data Protection Act to request a copy of the personal information we hold about you and to have any inaccuracies corrected. To access your information:

  • you can collect a form from reception and return it with photographic proof of your identity. However much of the information we hold is already available to you on ProMonitor.

If you request information, we aim to provide this to you, where possible, within 21 working days. Where this is not possible, we will keep you informed.
